VENDOR CONTRACT 2025

 Spring Conference: April 25, April 26 8:00-4:30 pm 

Lory Student Center - Vendors in Room 390. Conference is directly across the hall.  Please see map attached as a document below.  The conference will be in the Never No Summer room (387) and Vendors will be in room 390.

The Colorado Association of Play Therapy (CAPT) sponsors this event. Profits from this event go towards providing programs that support development, enhancement, and improvement of Play Therapy services in Colorado.

Please read the following information carefully. Eligibility is by application and approval of the CAPT Board of Directors.

Please note deadlines, fees, and vendor selection requirements

 •       Cancellation after Acceptance: Prior to March 1, 2025, you are eligible for a 50% refund. After March 1st, 2025 your fees will be considered a tax-deductible donation and no refund will be given (unless the conference is cancelled by local/state officials).

•       The CAPT Board of Directors will widely publicize and advertise the conference through social media, and newsletters to the membership of over 300 people.  

1)   TABLE, SPACE AND FEES:

a.     Vendor spaces will be broken up into three categories:  

      Category 1: Table. A Table Vendor Spot provides a single 6-foot table for your setup, perfect for smaller displays or informational booths. This option is ideal for vendors with limited products or services to showcase, such as brochures, flyers, or small merchandise. It's a cost-effective choice for businesses or individuals who need a compact space to engage with attendees. Chairs will be provided.

Category 1 fee for 2 conference days:  $150.00

      Category 2:  Booth. A 10 x 10 Vendor Space offers a larger footprint, providing ample room for a customized setup, such as tents, racks, shelves, or larger product displays. This space allows for greater flexibility in creating an engaging and immersive experience for attendees. Vendors have the option to set up their own tables, banners, signage, and equipment. It's an ideal choice for businesses that want to showcase a wider range of products or create a more interactive experience.

Category 2 fee for 2 conference days:  $200

     Category 3:  Nonprofit information space: A Table Non-Profit Spot offers a single 6-foot table for non-profit organizations looking to share information, engage with attendees, and distribute educational materials. This setup is perfect for organizations with limited resources who want a simple and effective way to promote their cause, connect with the community, and build awareness. The table spot is located in a communal area, fostering networking opportunities with nearby vendors and attendees.

Category 3 fee for 2 conference days:  Free with proof of non-profit status.  

Payment is expected upon registration to reserve a space. Please submit the fee with this contract to secure your space.

b.      Exhibitor’s materials and demonstrations must be contained in the space assigned to that exhibitor.

c.      The space for exhibitors will be assigned by the vendor committee. Please let us know if there is an accommodation you will need. We will do our best to meet this request but cannot guarantee it.

d.     Set up will begin at 7:00 am on Friday morning.  Please have exhibits in place by 8:30 am, when registration begins.

e.     Vendors will be able to leave your table display out during the conference, but if you are not able to supervise it, please ensure someone can fill in, as CAPT is not responsible for anything lost or stolen.
